The whole list

Everything that's in it.

One plan, everything included. This is the plain list, in the order a job happens, for anyone checking a requirement off a sheet.

Requests, the map and the price

  • Work comes in as a request: your website's form, a phone call somebody types in, an RFP with its plans. Convert it to a job with its own number, or decline it and keep the reason

  • Draw the lot on the satellite view, or set the scale on a PDF plan and draw on that; every shape is a layer, islands cut out, several maps on a job

  • Trace on your own drone map by uploading the file or pasting its link from DroneDeploy, Pix4D Cloud, WebODM, Propeller or DJI Terra

  • Type in quantities from the wheel: square feet, linear feet, counts

  • More than 130 built-in services across asphalt, asphalt repair, concrete, striping, sealcoating, drainage, maintenance, snow and ice, and site work; add your own

  • Prices from your plant, crew rates, equipment and sub quotes

  • The margin beside every line, and a margin floor for the company: a proposal under it goes to whoever approves it

  • Sent proposals keep their prices; drafts refresh when you say so

  • Paving, concrete, sealcoat and striping on one proposal at one price

  • Every job shows where the sale stands, from new to proposal sent, and a lost job keeps its reason

Signing

  • Proposals signed on a phone from an email link, under your logo, with a code from their email instead of a password
  • Good, better and best, or a base package with add-ons, picked by the customer on the page
  • Consent checkboxes, a drawn signature, and a record of when they signed and from what device, with a fingerprint of the exact document they saw
  • 30-day validity by default, reminder three days before expiry; the link itself doesn't expire
  • Signing wins the job; nobody marks it won by hand
  • Change orders drawn on their own layer of the site map, priced at the margin the customer signed, and signed the same way on the same page
  • A question or a change request from the customer comes to you as a message on their page
  • Proposal, change-order and invoice PDFs

Scheduling

  • A stage for each kind of work on the job, each with a checklist: permits and locates, material, subs, crew visit scheduled
  • A team of four on every job (salesperson, project manager, superintendent, foreman), each one hearing the news that's theirs, with a company default for each
  • Board with crews and equipment; warnings on double-booked crews and equipment
  • Weather rules per trade on every account, editable; forecast flags on the board; move a day's work in one move
  • Automatic order between trades: striping after paving, sealcoat after new asphalt cures, striping after sealcoat
  • Subs confirm their day from an email link; insurance certificate reminders at 30 days, 7 days and expiry

The crew's phone

  • Clock in and out on the job; the foreman can clock the whole crew; breaks come off the hours
  • Daily log: work done, material used, photos, mileage, equipment hours
  • Punch list with a photo per item
  • Photos marked before, during or after, pinned to the map where they were taken; mark one up with an arrow, a measurement or a note
  • Before and after photos of the same spot paired, and marked for your website when you say so
  • Works without signal; saves on the phone and sends when signal returns
  • Push notifications on phone and desktop (on iPhone, once Pavr is on the home screen)
  • English and Spanish throughout; each person picks
  • Crew who only clock in are free

The customer's page

  • Every proposal, change order and invoice, dated, with a Pay now link
  • Schedule and the crew's photos from the lot
  • Punch list sign-off item by item, or flag an item with a note and photo
  • Statements; a survey a week after the work with a Google or Facebook review button on a 9 or 10
  • Extra contacts on a job (billing, on-site) at no charge
  • Your logo, colors, web address and sending domain

Handing things over

  • A site map or a set of photos as a PDF or a picture, made once and kept on the job
  • A link to it that you copy or email to a contact on the job, with your name and logo on it, and that you turn off whenever you want
  • Every export and every link on a job in one place

Invoicing

  • Invoice from the signed proposal plus signed change orders; can't finalize while the punch list is open
  • Sending emails the PDF with a Pay now link to your QuickBooks payment page or your own link
  • Pavr Payments, optional and off until you turn it on: customers pay the invoice by bank transfer or card into a Stripe account in your business's name, checks always accepted, receipts sent on their own, payouts reconciled to the cent, and card fees passable to customers on credit cards where allowed. Pavr's fee is 1% of each payment, on top of Stripe's published rates
  • Payments recorded by hand; deposits; statements; reminders at 7, 14 and 30 days past due
  • Late fees, optional and off by default: flat or percent after a grace period, waivable
  • Customers 30 days past due go on hold: no new estimates, no new scheduling without an admin override
  • Progress billing by line item off the signed proposal, change orders added as lines, retainage held to release, G703 continuation sheet
  • T&M billed weekly against a not-to-exceed; warning at 80%, billing stops at the cap
  • Invoices to QuickBooks Online; payments back from it; with Pavr Payments on, payments and payouts to QuickBooks
  • Sales tax by job site: your authorities and dated rates, a tax group per place you work, four ways to tax a line, exemption certificates on the customer or one job, the tax frozen on the invoice with a breakdown by authority
  • Sales tax reports: liability by state and authority (issued and collected), filing summary per state, itemized CSV, registrations; QuickBooks tax codes mapped per group and checked before and after the send

Job costing and reports

  • Hours, material, receipts, sub invoices, mileage and equipment hours post against the job's budget by cost type
  • Yellow at 5% over, red at 10%, thresholds set by the owner
  • Closed jobs by month, customer, project manager and trade
  • CSV export of costs and reports; download of every record in the account

People and access

  • Roles for the office, the crew and customers; seats counted automatically from roles
  • Per-person permission overrides on top of a role
  • Owner-only billing; prorated seat changes; 14-day trial with no card

What isn't in it

  • Payroll
  • A cut of your customers' payments, unless you turn on Pavr Payments (then 1% plus Stripe's rates, into your own Stripe account)
  • QuickBooks Desktop
  • Reading plant tickets
